The first step in setting up a manual or online registration is to configure the catalog section. The Catalog section is where you set up your service offering for one season. To access this section click on Catalog on the main left menu.

Note: Organizations that use a 3rd party solution for registrations and payments may not use all the functions available in the catalog section. Please read the guide carefully to ensure that you understand the steps necessary for your organization.

Legal and Forms - Questionnaires

For organizations that use Online registration only.

Adding a questionnaire is an optional feature, used to gather specific information from the registrant.

To Add a Questionnaire: click on Questionnaires from the list of options under the Legal and Forms section, then click Add. Once you have added the sections and questions, click Create.

  • Questionnaires can be created (if needed) with multiple selections and questions.

  • Questions can be set up for short answers, simple selection, multiple sections, date, time, or number selection.

  • Questions can be set as required (optional)

To Edit Questionnaire: click on the questionnaire, make your modifications, and click Save.

Legal and Forms - Waivers

Waiver can be set up by Hockey Canada, your provincial governing body and by your association. For a list of waivers that are automatically set up for you, please ask your district office.

To Add a Waiver: click on Waivers from the list of options under the Legal and Forms section, then click Add. Once you have completed the waiver, click Save

A list of waivers that you have created will be displayed, giving you an overview of which ones you have made mandatory, and their status.

Legal and Forms - Terms and conditions

For organizations that use Online registration only

The online payment terms and conditions are set up by your organization and must be agreed to by the member.

To add Terms and Conditions:  click on Terms and Conditions from the list of options under the Legal and Forms section, then click Add. Once it is complete, confirm that it is set to active and click Add.

Finances - Discounts

For organizations that use Online registration only.

Please note: Currently the only discount option that is available is for a Multi-Participant. Promo code discount will be available in the future. 

  • The multiple participant discount is optional. 

  • It can be set up to apply a dollar amount or a percentage off registration fee. 

  • Rules can be set for which participant receives the discount. 

To add a Discount: click on Discounts from the list of options under the Finances section, then click Add. 

  • Select the Multi-Participant type

  • Choose the mode $ or %

  • Add a title

  • Set the rules for which participant(s) to apply the discount to. Ie:  second child, third child, etc.

  • Create an expiration date for the discount rule (if needed).

  • Click Save

Finances - Installments

For organizations that use Online registration only.

Installments is an optional feature that gives families a choice to pay the registration in multiple installments.

Note: The total percentage (%) of each installment must add to up 100%.

To add a Installment: click on Installments from the list of options under the Finances section, then click Add. Decide on the number of payment, and enter the % for the initial payment. You can define the percentage (%) and dates for each installment that follows. Remember, the percentage of the initial payment and the percentage of the installments must add to 100%.

Product and services

Products and services are offerings by an organization that include registration and items that can be purchased by members of the HCR system only. HCR is a dedicated platform related to the member registration underneath Hockey Canada.

Product and services - Membership Fees 

The membership fee represents the cost required to register within Hockey Canada and the governing body’s program for one (1) season. The membership fees will include costs related to the member's insurance coverage.

Products and Services - Registration Fees

The registration fee represents the amount required for a player to play hockey in a specific division of a season.

Note: The registration fee should be entered MINUS the membership fee. The system will automatically add the annual membership fee to the total on the first registration transaction.

Example: If the annual membership fee for the player is at $23.80 (Hockey Canada + Branch), and your association’s registration fee is $300, the parent will see the total of $323.80 when they register their child. Using the same example; If you want the total that the parent will pay to be $300, you would enter your registration fee as $276.20.

To add Registration Fees: click on registration fees  from the list of options under the Products and Services section, then click Add. Select the Member type, Active or Inactive, Category and Number of Available Places. Next, enter the fees, and choose the questionnaires, waivers and installment options you want applied to this registration.

Products and Services - Other Items

Other items can be set up as an add-on item to your registration (i.e. $50 deposit for team jersey) or as additional service offerings for your members (i.e. a goaltending seminar or a power skating session). Other items can be set up as mandatory or optional.
