Report

The "Registration", "Branch" and "Team Roster" reports default to the "Summary Report". To view the detailed report, click on the "Action" button and select "Go to Detailed Report". If you wish to return to the summary report, click on the "Action" button again and select "Go to Summary Report".

The detailed report allows you to see a list of all members and the summary report displays the statistics for the selected report.

Custom Report

It is possible to customize your reports by clicking on the "Action" button on  the report page and selecting

"New Custom Report". This will allow you to include only the desired columns and their order.

To create your custom report

  • Click on ‘Action’ and ‘New Custom Report’.

  • Give your report a name

  • Enter a description (optional)

  • Click on "Save filter values”

  • Select the desired columns by checking them on the right

    • We suggest that you check the "Email on the invoice" column since it is the member's registration email. You are assured to have a recent email.

  • You can move the columns to the desired order by clicking on them, holding down the mouse button and moving it up or down

  • Click on "Save" at the bottom of the page

You will find your custom reports in the ‘dashboard’ of the ‘Report’ menu by clicking on the ‘Custom’

Dashboard

In the Dashboard menu for reports, you will have a list of all reports available. At the top of the page, icons are displayed, containing categories that reports are filtered by.

Clicking each icon, the associated reports will be displayed below.

  • The systems beside the report name in the list of reports will show you that the report is either a custom report, as seen beside the $$ report, or that the report is available in both a summary or a detailed version, as seen beside the branch report.

  • You can click on the report name to go directly to the report.

  • Clicking on the 3 blue dots is another way to open the report. The delete option is only available if it is a custom report created by you.

  • From the reports dashboard, you can search for a report by starting to type the report name in the search box.

Custom Reports

The option to create a custom report is available for each report. You can select columns for your report from the list of default options.

Saved custom reports will be added to the custom icon, so that you can run the report over again.

To remove a custom report, click on the 3 blue dots on the report list and click delete.

Exports

You can run all reports in CSV or Excel, report processing may take a few minutes. You can go to other screens during this time and find your report in the export tab of the "Report" menu. Your report will remain in the export tab for a few days. In order to export the file, you just have to click on "Action " and on "Export Excel".

Warning

If you have a delay when exporting a report or if the report fails, we advise you to do the following trick:

  • Go to the Exports page of the Reports menu

  • Refresh your page by clicking on the arrow to the right of the word Exports

  • The yellow clock indicates that the report is being generated. You can continue your work, and once it is complete, it will be available to download from the Exports menu.

  • You will receive a notification received when the export of a report is completed

Note: Each report is limited to a maximum of 1000 lines on the screen. A message will appear if the report you are running exceeds 1000 lines. The arrow on the right will allow you to download the full report. CSV and Excel downloads will always give you the complete data of the report.

 

Appeals

It allows you to get the appeals for a specific MHA or for a full branch.

Branch

This report will show a list of all registrations in the MHAs that belong to your branch.  This is a registration report but at the Branch level. 

Cheque issued for insurance

This report generates a list of cheques issued by Hockey Canada in insurance claims.

Clinic Attendees

This report will show you a list clinic attendees based on several filters you can select.

Background check

This report will show the "expired", "valid" or "both" background check. You need to filter the start and end date range you are looking for. You can then select the status "expired, valid or missing" and put a filter on registered or unregistered members and on members of a team or not.

Background Check Deficiency

This report will allow you to generate a list of members with background checks deficiencies on their profiles. Filters allow you to select the type of member whether the member is on a team, and the type of background checks.

Credits

You can run a report on the credits for members. You can filter on active ‘credits only’ or ‘with balances.

Injuries

This report lists all injuries that have been reported to Hockey Canada.

Membership Fees

This report will list all the players on their primary team and will allow the invoicing of the insurance fees between Hockey Canada and the sub organization. I can show the distribution of the membership fee based on the number of players, coaches and bench staff.

Outstanding Balance

This report lists members with outstanding balances in their file.

Participant in multiple teams

This report allows you to output the list of members registered on more than one team. The team name, position and team organization will be displayed in the report.

Participant without a team

This report can show you registered members that have not been rostered to a team, or can be used to compare season registrations.

Previously in a team

This report allows you to take out the list of members who have previously played in a team, but who are not yet registered in the season. You have the option to filter by division, class, team category, date of birth range and by position groups (player, coach, bench staff).

Print the Registration Form

This report allows you to print a registration form including the mandatory information that must be collected when registering a member. This will allow you to ensure that all information is collected in order to validate a member's profile in HCR. The printed information will also include a list of documents and mandatory exemptions.

Qualifications

You can select from the qualifications listed and run based on ‘expired’, ‘valid’ and ‘all’.

Qualifications Deficiencies

This report will allow you to generate a report of anyone missing a qualification. A filter will allow you to select members with or without registration for the current season.

Questionnaires

If you have set up questions in your online store, you can run a report on the answers to your questionnaire.

Refunds

This report lists all refunds made by an organization during a given period. This report includes the account email address and allows you to filter by organization, date range and status of the refund.

Registration by member type

This report allows you to run the list of registered members according to the type of member: player, coach, referee, volunteer, bench staff, Dreams come true and first attendance.

Registrations

This report shows a list of all registrations for a specific MHA.

Warning

Please note that manual registrations and item or registration exchanges will not appear in the registration report if you select an online store.

By default this report displays the "Summary Report" in order to get the complete and detailed list of registered members, you must click on the "Action" button on the right and select "Go to detailed report".

You can add the following filters to your report:

  • Organization: If you have access to multiple organizations, select the desired organization

  • Period: Select the desired season, by default the current season is displayed

  • Online stores: If you have several online stores, you can select the desired one. However, in order for your manual registrations to appear on your report, make sure that the "online store" filter is empty and that you do not select anything in the drop-down list.

  • Registration Type: You have two options:

    • Registration: These are the registrations of your members

    • Other: This is the list of your "Other Items".

  • Start and End Date: You can display your report according to the registration dates of your members by entering the desired start or end date

  • Origin: You can select three options:

    • Online transaction: transaction made online by your members

    • Administrators: transaction made by a HCR user

    • Import: transaction imported from a third party software

  • Registration status: You can select three options:

    • Confirmed

    • Cancelled

    • Pending

  • Date of birth: You can select the range of the date of birth of the members you want to display in the report

  • Gender Identity: Select by the gender of your members

  • Division: You can select the division of enrollment of your members that you want to display in the report

The summary report will show you a summary of the number of items and registration fees sold in your online stores.

You can add the following filters to your report:

  • Organization: If you have access to multiple organizations, select the desired organization

  • Period: Select the desired season, by default the current season is displayed

  • Once a report is run, it will be available to download for a few days. Each report is shows the date that it was generated, and shows the date it will expire.

Note: All times are displayed in the local time zone in reports as well as in downloaded files.

Note: If you have a delay when exporting a report or if the report fails, go to the Exports menu. Click on the Refresh symbol

Note: During high volume times, a delay may occur in receiving the notification that your report is ready. We suggest that you go to the Exports page to see if your report is ready and instead of waiting for the notification.

There will be times that your report is too large to display on the screen. A message will appear if the report you are running exceeds 1000 lines. Simply click on "download" in order to get the full report.

Rostered Participants

This report allows you to generate the list of members registered on the team’s roster. You have the option to filter the division, team category, member status, etc.

Suspensions

This report allows you to get the suspension for a specific MHA or for a complete branch.

Team Deficiency

This report will allow you to generate a list of members registered in a team roster and who have deficiencies in their file such as "Missing Waiver", "Expired Background checks", "Missing Documents", "Outstanding Balance", "Missing Required Fields", "Unconfirmed Address". A filter will allow you to select the status of the members you are looking for.

Team List

This report allows you to generate a list of teams by season and status. By clicking on the "Action" button on the right, you have two options:

  • Summary Report : Will show you the number of regular players, affiliate players and bench staff for the selected AHM.

  • Detailed report : Will show you for each of the selected MHA teams its status, the number of regular players, affiliated players and bench staff.

Transactions

This report allows you to output the list of transactions for a given period of time. You have the option to filter date ranges, payment type, transactions to display and payment method.

Transfer

This report will show you a list of transfers. You can sort it by transfer type, transfer duration, status, reason, direction, approval status, and date range. You also have the option to view manual transfers by clicking on "Manual Transfer".

User Report

This report generates a list of users in your organization and shows each member's role, email address, last login, creation date, and whether that member is active or inactive.

Waiver

You can select your time period or date range, which waivers and your waiver status you’d like to include on your report.- Your report is too heavy, click here to download the complete report. Click on it, and you can view the full report from the export.
