Request a change in mandatory information

We are releasing a module this week that will add a workflow of validation when updating mandatory information on a member’s profile. Every user will now need to request to change the mandatory information:

  • First name

  • Last name

  • Date of birth

  • Gender

The request will be submitted to the branch or the member partners for approval.

Every change pushed on those fields from a 3rd party will also follow this process.

Here is how it will work:

If you would like to change the first name, last name, date of birth, or gender identity of any of your members, you must submit a Request Mandatory Changes to your regional organization.

To make a request, click the Action button in a member’s profile and select Request Mandatory Changes.

 

 

A new window will allow you to make the desired changes, then click Submit.

 

A notification will then be sent to your regional organization for approval.

The member’s profile cannot be edited again until the request is approved.

When a notification request is pending, a red notification will appear under the member’s profile picture.

 

 

A window will pop up by clicking on the Pending Mandatory Changes Request notification to see by whom the request was created and the changes requested.

You will also have the option to cancel the change request by clicking on Cancel Request.

 

  • If your regional organization approves the change request, the member’s profile will be updated with the new data, and you will receive a notification to advise you of the approval.

  • If your regional organization refuses the change request, the member’s profile will not be updated, and you will receive a notification indicating your region’s denial.

Approve a change in mandatory information

There’s now a module where users can manage requests by approving or rejecting them. Depending on your authorization, you’ll see a Manage Change Request item.

Note when a 3rd party updates mandatory information

To improve the tracking we are doing with 3rd party, we have implemented a new feature that will create a note automatically when there is a change in mandatory fields (first name, last name, date of birth, gender) by a 3rd party.

Updates and Improvements

New permission Bypass Clinic Registration Validation

We are releasing this week a new permission that will bypass the clinic registration validation. This permission will be added to all branch admin by default. The goal of this new permission is to allow the user to register a participant to a clinic even if the participant profile does not meet the prerequisite of the clinic.

The following restrictions will be ignored:

  • Prerequisite validation

  • Age validation

  • Background checks validation

  • Member type validation

It will not bypass:

  • Available places

  • Waiting list restrictions

This applies only to registration inside HCR. A participant will never be able to bypass the restriction.

When the permission is enabled, you will see this checkbox in the manual registration process that allows you to bypass the restriction.

If you click on the box, the system will allow the registration of that member without doing any validation.

Important note about Paysafe

Organizations using Paysafe as a payment provider have received an email from Paysafe regarding a PCI compliance fee in the past few days. Please note that this is a generic email to all merchant account holders. In the case of Hockey Canada, these costs are covered by Spordle. You don’t have to take any action.
