Create organization-specific parameters at the beginning of the season by selecting Offices from the left-hand menu and choosing your organization.
Navigate to the Assigning tab, and click on Edit Settings.
Assignment Settings
Select your preferred settings:
Allow officials to view unassigned games: If disabled, officials will not be able to view unassigned games.
Visible days: This is the number of days in advance when officials can see the games
Daily limit: This is the maximum number of games an official can be assigned to in a single day.
Assignment visibility: This is the visibility of an assigned official's name and status in assignments. You have three options:
Show Name and Status
Show Status Only
Hide information
Show assigner name to officials: Allows you to choose whether or not to display the person who assigns games.
Show supervisor to officials : Allows you to display or not the supervisor's assignment of games to officials.
Remove Officials when a game is rescheduled: When a game is rescheduled (changes to the date, time, location or status) all officials will be removed.
Assignors are notified by e-mail when a game is rescheduled, even if officials have been withdrawn from the assignment.
Enforce consecutive assignments: Officials will be required to either accept or decline all assignments within an hour from each other.
Show officials lists from child offices: Officials lists from all the child offices will be able to be selected and shown from this office.
Requests:
Allow officials to request games: If disabled, officials will be able to view active games but not request to be assigned to a game.
Declines
Allow officials to refuse assignments: If disabled, officials will be instructed to contact an assigner to be removed.
Remove officials when they refuse: Officials will skip the declined state and be immediately removed
Disable refusals once confirmed: Officials will be unable to decline after they accept.
Reason required: Require officials to specify a reason when declining.
Minimum hours: you can specify the minimum number of hours before the start of a match before an official will refuse an assignment.
Claim
Allow early claims: Officials will be authorized to enter claims early prior to the end of the game.
Travel Expenses
Authorize officials to claim expenses by indicating the amounts paid. After configuring assignment parameters, click Save at the bottom of the page.
Officials can then request a fee claim, which you can accept or refuse.
Payroll Periods and Claims
For the Payroll periods and Claims box, please refer to the Payroll Management documentation.
Officials
In this box, view officials who have chosen your organization; indicating that they are available to officiate in your office will be displayed.
To add officials not on your list, click + Add an official. Select the participant and click Save to add them to your list.
Scorekeepers
In this box, the list of scorekeepers that have selected your organization in their parameters, indicating that they are available for marking in your organization, will be displayed.
You can add markers if they are not on your list. Click on + Add official.
Select the participant and click Save once you've found him. He will then be added to your scorekeepers list.
Officials List
The lists of officials created are dedicated and accessible only by the officee itself. Parent office don’t have access to the lists.
The system allows you to create customized lists of officials, enabling you to group them based on referee level or other criteria. There are no limits to the lists you can create.
To create a list, click + Add a list.
Enter the name you wish to give to this list and click on Save.
Click your list to add officials.
Click on Add.
Enter the name of the official you want to add. The system will search and provide you a list of members matching the name for you to choose from. To add more officials to your list, click on Add.
Once you've finished adding officials to your list, click Save.
Note: the lists created will be accessible in the official search when you make your assignments.
Attributes
If you wish, you can create a list of attributes to select officials according to specific criteria when assigning them. These personal notes, visible only to assigners, will not be accessible to officials . Attributes are specific characteristics that describe a person or concept, and can include criteria such as
Performance: Assessments or ratings based on past performance of the official.
Skills: Specific skills or specializations of the official.
Quality: Indicators of the quality of the official's work.
Experience: Number of years of experience.
Availability: Indication of official's availability for future assignments.
Reliability: History of official's punctuality and adherence to commitments.
Flexibility: Official's ability to adapt to different situations or roles.
Feedback: Feedback and comments received on the official.
These attributes enable assigners to make informed choices when selecting officials for various assignments, ensuring that they meet the specific requirements of the tasks at hand.
To create attributes, click + Add an attribute type.
Then complete the required fields:
Name of your attribute type
The type of response value and the options depending on the type of value selected
Drop-down list: indicate the desired choices in your drop-down list, click on Add for each answer choice.
Text field: you don't have to enter anything; you'll have to add text when you add this attribute to an official.
Number: enter the minimum and maximum number that can be selected.
Click on Save
To add an attribute to an official, go to the official's profile and search for the participant menu. Select the Official tab, and under the calendar in the Attributes box, click +Add an attribute.
Select your organization and the desired attribute from the drop-down list, and indicate the value you wish to add to this official. Then click on Save.
Note: attributes created and added to officials will be accessible in the official search when you make your assignments.
Assignment System
The assignment system is in fact the WHAT, i.e. it determines the number of officials required for a game in a category. This is done at association, regional or federation level.
If no assignment system has been defined for a category X, it will not be possible to assign officials to the schedule of games for this category.
Click the arrow in the top right hand corner to expand and view all systems and their required officials.
All assignment systems will be displayed, showing the number of officials required for each system.
To view rules for a specific system, click the arrow next to it. Here, you can add a new assignment rule or modify an existing one
Add an Assignment Rule
For the order of priority, the system always starts at the association level. If there is no assignment system at this level, it will go up to the region and then to the federation.
To add an assignment rule, click on the + Add assignment rule button.
If there are rules with overlapping criteria, it specifies the priority order
Complete the required fields:
Categories: if you don't select any categories, this rule will apply to all categories.
Schedule types: select for which schedule type this rule applies. This rule will apply to all schedules if you don't select a schedule type.
Game duration, days, and before are optional options.
Order: if rule criteria overlap, you can add a number to specify the order in which priorities should be set.
Activate the Stop rule inheritance if you want this assignment rule to be applied by default to organizations below yours.
Modify an Assignment Rule
To modify an assignment rule, click on the one you wish to change.
Make the desired changes and click Save.
IMPORTANT: If you modify any assignment rules after creating your schedules, you must apply the new assignment rules to all your previous games. For more details, consult the Apply assignment rules documentation.
Pay Structures
The pay structure for officials' assignments sets out the terms of payment for referees, assistants, scorekeepers and supervisors when they are assigned to games according to category.
To view the pay structure, select your office in the left-hand tab. Then, in the "Assignments" tab, scroll down to the "Pay Structure" section.
To view the organizations' pay structures, click on the arrow to the right of the pay structures box or the banner to display its contents.
Add a Pay Structure
To add a compensation structure, click on +Add a pay structure.
Complete required fields:
Name: add a name to your structure.
Remuneration: indicate the salary for each official.
Click on Save.
Note: if you leave an official rate blank, it will be set to $0.00.
Add an Assign Rule to the Pay Structure
Once you've created your compensation structures, you MUST add an assignment rule so that it can be applied to the desired categories.
Note: It is important to link the pay structures you created to the correct divisions. Simply adding a pay structure with the name of the division will not link them together.Otherwise, your remuneration structure will not apply to any category, and you will not be able to pay your officials when they are assigned to a game.
Click on an assignment rule to expand its contents, then click on +Add an assign rule.
You must complete the fields to select the categories to be linked to this structure. Other choices are optional.
Once finished, click on Save.
Note: you must create compensation structures and link assignment rules for each category for which you pay officials.
IMPORTANT: If you modify any assignment rules after creating your schedules, you must apply the new assignment rules to all your matches. For more details, consult the Apply assignment rules documentation.
Games Specifications
This parameter allows you to define the level of officiating for each category.
However, if you wish to assign an official who does not have the specified level, a message will be displayed telling you that the official is ineligible, as he or she does not have the required level.
To add a rule, click on +Add an assign rule and complete the required fields, as for the assignment system and remuneration structure.
IMPORTANT: If you modify any assignment rules after creating your schedules, you must apply the new assignment rules to all your matches. For more details, consult the Apply assignment rules documentation.
Assigner Determination
This parameter enables rules to be processed when a match is created or updated, to determine which organization will assign the match.
To create an assignment rule, click on +Add an assign rule.
Complete the required fields:
Select the type of assignment and its value according to the type chosen.
Assigned via:
Venue's Primary Office
Schedule
Local team organization
Parent organization of local team
Assigned by:
select the organization from the drop-down list
Categories: select the categories you wish to add to this rule
Schedule type: select the type of schedule you wish to add to this rule
If required, select the other optional fields:
Game duration
Days
Before
Order
Stop inheriting rules
Click on Save
Note: you must create your own assignors for each category.
IMPORTANT: If you modify any assignment rules after creating your schedules, you must apply the new assignment rules to all your matches. For more details, consult the Apply assignment rules documentation.
Assigner Overrides
If your league or organization has added assignor replacement rules, these will be displayed below this box.
Apply Assignment Rules
If, after creating your schedules, you modify assignment rules in assignment systems, compensation structures, match specifications or in the determination of assigners, you must re-apply the rules to existing matches.
If this action is not taken, your new rules will only be applied to new matches that are added, and not to matches that are already in your schedule.
To apply your new rules, go to the top of the Assignment tab page and click on the three small dots in the top right-hand corner.
Select Apply assignment rules.
Enter the start and end dates of your schedules.
You can indicate the category for which you have made changes, or leave the box blank. All categories will be displayed, but the rules will only be updated for the categories in which you have made changes.
All matches will automatically be displayed according to your selection.
If you have several matches, go to the bottom of the page and increase the number of matches per page by clicking on Lines per page.
Select the matches you want, or simply click on Game Number to select them all. There will be no impact if you select games for which you have not modified the rules.
If you have more than one page, select the desired games or all the matches on each page.
Once you have completed your selection, click on Apply at the bottom right of the page.
