Please note: Auto-complete does not always enter the correct information. If you use this function, please make sure that the information entered is the one you want.

Search for a Member by Location

When searching for members, you have three search options:

  • Include members of the selected organization

    • The system will search for members of your organization.

  • Include members of all sub-organizations

    • Provincial organizations use this search to find members of all their child organizations.

  • Include members of all organizations

    • This search includes members of all organizations in your sport.

Note: Only basic information will be displayed for members outside your local organization.

 

Select the desired option by clicking the radio button corresponding to your search.

Note: when searching by First Name and Last Name in your local organization. You don't have to enter the entire first and last names; you can enter the first and last names' first letter (s). You can also search by first and last name only.

 

Search for members outside your organization

When searching for members outside your organization, choose whether to include members from all sub-organizations or all organizations. Enter the Member's name or member number and click Search.

 

Search as a Parent Organization

If you are an organization that has sub-organizations (branch, member partners, and regions), you are now able to search by those criteria without entering the full name:

  • Member type

  • Member status

  • Unconfirmed address

  • Missing documents

 

Filters and Search Criteria

To search for all members of an organization, leave the filters blank and click on Search.

You can narrow the search by applying one or a combination of filter options:

  • Member type

  • No member type / Unregistered members

  • Missing required fields

  • Unconfirmed addresses

  • Missing documents

  • Missing profile picture

  • With outstanding balance

  • First Name and Last Name

  • Email

  • Member status

  • Birth date range

  • Minimum age - Maximum age

  • Gender identity

  • HCR number

 

Search by Member Type

Selecting a Member Type will narrow your search to members with that member type for the current season. A member type is added to a profile by registration or being rostered to a team. A member type will get reset every year. The member type options are Bench Staff, Coach, Dreams Come True, Official, Player, and Volunteer.

 

Search by No Member Type / Unregistered Members

By selecting the filter option for No member type / unregistered members, you can search for members with no registration on file or who have not been rostered to a team in the current season.

Since there are several ways to use the platform (with registration in the HCR, with registration on a third-party platform, and with only the team book), the member type is the best way to find players who are not registered.

 

 

Search by Missing Required Fields

By selecting the filter option for Missing required fields, you will narrow your search to members missing information from the primary information selected from their profile.

 

Search by Unconfirmed Addresses

When a member updates their address in My Account, the address will need to be verified by the registrar in the member profile. You can filter by Unconfirmed Addresses to display only members with addresses that need to be verified.

 

Search by Missing Documents

Suppose you have selected mandatory documents in your organization's settings. In that case, you can search for only those members who have not added the required documents during registration or when you submit a change of address.

 

Search by members without a profile picture or with an expired photo

 

 

Export list of members without a profile picture or with an expired photo

Following your search, you can export your list of members without photos or with expired photos. Click on Export in the top right-hand corner of your player list.

Select the desired format, CSV or Excel.

  

Search by a member with an outstanding balance

If you have manually added an outstanding balance to a member's profile, you can search only for members with an outstanding balance.

Search by First name and Last Name

You can target your search by selecting the First and Last names filter. You can either use full names or partial, ie. Jane Tester - you can enter J and T or Jane and T, etc. You can also enter a % sign if you don't know the first name (or last name). For example, enter Jane as the first name and % as the Last name.

 

Search by Email

It's possible to search by email address in the database. The criteria for the search are done as below:

  1. Primary email address of the member profile

  2. Email addresses in the contact information

  3. Email addresses of My Account link to the Member

You can search using the primary organization or the child organization.

 

Search by Member Status

You can search by the status of a member profile:

Unconfirmed: The status will first be unconfirmed when a new member is created and assigned an HCR #. Once the Member's information has been verified, the status can be updated to confirm.

Confirmed: A member that has an HCR # with information that has been confirmed.

Inactive: Members that have had no activity on their profile for 18 months. The status of an inactive member will change back to their prior status when one of the following as one action is triggered:

  • The Member is added to a team

  • The Member submits a registration

  • The Member registers with a clinic

Blocked: A member whose status is blocked cannot register, be entered in a team or be transferred.

  • A profile blocked due to an outstanding balance can be reconfirmed, even if the balance is still unpaid.

    • A member profile with a blocked status will not be able to register. The system only takes blocked status into account. The Member can still register if the profile is confirmed and there is still an outstanding balance.

  • A profile with a blocked status cannot be added to a team roster.

    • If the profile is confirmed and there is still an outstanding balance, the Member can be added to the team roster.

  • A profile with a blocked status cannot be transferred from one organization to another.

    • A profile with an outstanding balance cannot be transferred, as the system will turn off the Action button to initiate a transfer request.

Permanently Ineligible: Once a member has been marked as permanently ineligible, they can not register for hockey, be transferred, or be rostered on a team. Only users with select permissions will be able to remove the ineligible status.

Deceased: A member can be moved to the deceased status if they die during the season.

Potentially Ineligible: If a has a partial match to a permanently ineligible member, they will be flagged as potentially ineligible and will need to be reviewed by Hockey Canada

Temporarily Ineligible: If a has a partial match to a temporarily ineligible member, they will be flagged as temporarily ineligible and will need to be reviewed by Hockey Canada

 

 

Search by Birth Date Range

You can filter your search by a date range and select the start and the end dates.

Example: 2008-01-01 to 2009-12-31.

 

Search by Minimum Age - Maximum Age

You can filter your search by an age range. Example: age 12 to 15.

 

Search by Gender Identity

You can search by gender identity - filter by Boy/Man, Girl/Woman, Prefer not to say, Not captured in these options, or Non-binary.

 

Search by HCR number.

Searching by HCR # will target this Member only.

 

Reset the Search

When searching for a member, a feature automatically saves your search criteria in the system. For example, if you search by selecting specific criteria in the Member's section, the system will save them. When you return to the search page, the page will be filtered according to your previous criteria.

You can reset the filters by clicking on Clear or Reset filters at the bottom of the search page.

 

Select members searched

Once your search is complete, you can select the members found in your search by checking each of them in the box to the left of their name or by selecting them all by checking the box at the top.

Once the members have been selected, a side panel appears. By clicking on the Action button, you can perform the following actions:

  • Confirm all selected members

  • Block all selected members

  • Send a message to all selected members

  • Open a quick preview of each selected Member's profile

 

Download Search Results

The search feature is designed for a general or targeted search option. Once a search is complete, you can use the Export button to download the results in CSV or Excel.
