Roster approval and printing change

We are introducing some changes today that has an impact on how the roster are printed.   

Pending deficient status

We have introduced last month a new status that is generated automatically by the system to track players that have missing profile information.  

Users can now submit roster for approval even if they have deficiencies on some members. The validation can by bypassed and the roster can even be approved with deficient players. When you submit the roster for approval you will see this window.

The system show you the list of deficiencies and the members but you can use the Bypass button to still submit. If you do so, there is an automation in the system that will move the players to Pending - Deficient.

Here are the rules that will move a player to Pending Deficient, if a user opts to approve an entire roster, knowing some participants have deficiencies :

  • Missing primary information

  • Missing demographic information

  • Missing critical waiver

  • Missing background check ( if it's a team official ) 

You will see the status change to a red status. We have introduced a filter on the roster to allow you to quickly filter the list based on the status.

Once a player is set by the system to Pending Deficient, you won’t be able to manually approve it without fixing the deficiencies. If the user try to change the status and there is still deficiencies, the status will return to Pending Deficient.

There is no automation to switch the member back to Pending once the deficiencies are fixed. This needs to be a manual process by then registrar to change it to pending and resubmit for validation.

Once the pending deficiencies have been cleared, to change the member's status from Pending Deficient to Approved, you must open side panel in the team and update the status using the blue pencil. Note: When a member has a Pending Deficient status, it is impossible to change the status to Approved until the missing information is completed.

Released members

The process of releasing players has not changed. But the printing of the roster has been updates to add a released player section that includes players and team officials.

Released players can be approved.  If you use the print only approved players on the roster, the release members will need to be approved in order to be displayed on the roster. 

Inactive Participants

A new box is added to the printed roster to list all of the inactive participant. This section will always be printed on a new page. This will have the list of participants with the following statuses. By default Inactive section will print. : Pending deficient players and team officials.

Here are the settings that will remove players from inactive 

  • Print approved players only : will print only approved players ( this will hide the players from the inactive member section ) and will print the released players in the release box only if the release player are approved 

  • Print approved coaches only : will print only approved coach ( this will hide the coach from inactive member section ) and will print the released coach only if the released coach are approved 

  • Print approved staff only : will print only approved staff ( this will hide the staff from the inactive member section ) and will print the released staff only of the released staff are approved. 

Updates and Improvements

You now have access to search by missing required fields parameters in the member search.

Confirming a profile

We have added 2 automation that will help in the process of confirming a member. The first one is related to confirming an address. As you confirm an address, this window will still appear.

Once the address is confirmed, if there is nothing else missing in the profile, the system will popup a new window to ask you if you want to confirm the member right away.

If you say yes, the profile will be confirmed.

The other automation is that every time you open a member profile that is unconfirmed but have nothing missing, the system will add a green box as below to remind you that you can confirm the profile.

Access the quick view from the teams restrictions

We now have the quick view feature on the validation of deficiencies in the team restriction section. This will allow you to quick access to the player profile to manage the deficiencies. You can open one profile or all the profiles in the section in one click.

Suspension Code

The list of the suspension code are now reviewed and added to the system. The suspension screen was updated to manage the new version of the suspension list.

Sorting the contact on the member profile view

It is now possible to sort the contacts on the member profile by different criteria.

Upload attachement to support request

It is now possible to upload pictures and files to an existing support request. Go to the support request list and select one of your existing request. You will now see an attachment section that will show the attachment on that request and allow you to add.

You can add attachment on an any request even if they are closed.

Add an action button to set the profile as unconfirmed

We now have a way to set a member profile back to the Unconfirmed status. From the Action Menu, if the profile is confirmed , we can go to Unconfirmed.
