Travel Permit

Note : To access the Travel Permits tab in My Account, team officials must have been added to the team roster.

 

Your region or branch activates access to travel permits. Team officials registered with a team will have access to the Travel Permits tab.

To submit a request, click on Manage and then +Add.

 

 

Complete the required fields:

Fields marked with * are mandatory

  • * Team

  • * Title

  • Reference number

  • * Travel type

  • * Event Type

  • Host Website

  • Host Team Name

  • Number of games

  • * Host Division

  • Host Class

  • Host category

  • * Host Country

  • * Host Province / State

  • * Host City

  • Host Organization

  • Host Arena

  • Travel Permit Fee

Your region or branch may charge a fee for the travel permit. If so, the fee amount will be entered, and you cannot change or delete it.

Once finished, click on Next.

 

You must then enter the start and end dates of the tournament. You can add a note if you wish.

Your branch or region may also ask you to attach a document to your request.

Click on Add

 

You then have two options:

  • Submit permit (will be sent to your branch or region for approval)

    • If you select this option, you can no longer make changes to your request.

  • Submit later (you can make changes and submit the permit later)

Click on Confirm

 

 

Once a travel permit request has been submitted, it must be approved by your branch or region.

The travel permit requests you have submitted will be displayed.

  • Team: team name and organization

  • Event: name of the event and whether it is a home or away event

  • Location: the location for which the permit is requested

  • Start date: the start date of the event

  • End date: the end date of the event

  • Status: the status of the travel permit request

There are four possible statuses for a travel permit request:

  • Draft: the travel permit has not yet been submitted

  • Pending: the travel permit is pending, approved, or declined by your provincial or regional organization

  • Approved: the travel permit has been approved by your provincial or regional organization

  • Declined: the travel permit has been declined by your provincial or regional organization

 

By selecting a travel permit request, a side panel will appear.

The Action button will allow you to print the travel permit once approved.

Two tabs will also be available:

  • General: this tab will display all the information relating to your request

  • Host: this tab will display tournament information

 

The travel permit module will generate an email notification when the status of a travel permit changes and will send an email to the creator and approver.
