What to do as an Association Registrar in Spordle ID & Spordle Play ?
Ensure You Have Access to Your Association in Spordle ID
If you don’t have access, support@spordle.com for assistance.
Verify Active Roles
Ensure that you and others have active roles and that the roles are correct. For most associations, the role should be "Registrar."Verify Page Admin Rights
Confirm that you or someone else is listed as a "Page Admin" for your association. This role allows you to manage your public association page (e.g., your website).Verify Staff Listings
Ensure that all personnel are listed under "Staff." This is not the same as "Users." Staff includes people working for your organization, even if they don’t have Spordle ID access (think of it like Canada 411). "Users" are the people who have access to your Spordle ID.Create Teams
Create teams as soon as possible. The team "Name" is used for management purposes in both Spordle ID and PLAY. The "Short Name" is the public name displayed on page.spordle.com (e.g., "Winnipeg Jets U13" instead of "WIN"). Make sure the short name is clear and descriptive.Set Up Your Merchant Account
Ensure your merchant account is properly set up.Open Registration
Open registration for all member types (players, coaches, officials, scorekeepers, supervisors). For help managing registration, click here.Verify Registrations
Make sure registrations are working properly on page.spordle.com.Assign Players and Coaches to Teams
Assign players and coaches to their teams, set jersey numbers, and positions.Access play.spordle.com
Verify you have access to your organization in Spordle Play, which is separate from Spordle ID. If you don’t have access, please contact suppport@spordle.com.Check Rinks in Spordle Play
In Play, review your organization’s summary and ensure all rinks are listed. If any are missing or incorrect, email support@spordle.com.Verify Access Rights in Spordle Play
In Play, under Settings → Roles, ensure your colleagues have access. Typically, an association will have one "Super Admin" and one "Assigning Manager," though this can be the same person.Check Teams in Spordle Play
Make sure all your teams are listed in Play. Teams in Spordle ID should also appear here, along with assigned players and coaches.Invite Coaches to Spordle Play
Invite coaches to create a Spordle Play account by clicking "Invite" in their profile. This links their Spordle (Spordle ID) account to Play, provided the email you entered matches the one in Spordle ID. If not, a new account will be created. Be sure to use the same email in both systems.Add Emails to the Address Book
Ensure the coach’s email is in the "Address Book" section of their profile in Play, and verify the email. This ensures they receive notifications for game creation, postponements, etc. Players do not need to create a Spordle Play account to view games; they can simply check page.spordle.com. However, you can add player emails to their profile to receive game notifications.Invite Officials (Referees) to Spordle Play
For officials, follow the same process as coaches in step 14. Don’t forget to update the Address Book. Scorekeepers are considered officials.Invite Scorekeepers to Spordle Play
Similar to referees, invite scorekeepers to Spordle Play so they can set their availability and accept or decline games.Check Official Qualifications
If an official isn’t listed in Spordle Play, they lack an active qualification in Spordle ID. Qualifications can be manually added or achieved by attending and passing clinics.Create Practices
To schedule practices, click "Practices" on the left-hand side. At this time, practices can only be created for teams, not for individual players.Create Games
To create games, click "Schedules" and add a new schedule. Alternatively, go to the "Schedules" section in your organization summary. A schedule is a group of teams playing against each other in a competition. Set up groups (pools), rules, points, tiebreakers, rinks, and other settings. If not customized, the organization’s default settings will apply.Verify Access to Your Spordle Page
Ensure you can access your Spordle Page at page.spordle.com. If you cannot log in, it may be because you don’t have access. If you believe you should, contact support@spordle.com.
