Terminology Used in PLAY

Active and inactive seasons.

In Spordle ID and Spordle PLAY, we now have the concept of season.  As explained in another tutorial, your accounts are timeless.  The same applies to leagues, tournaments and clubs.  There's no need to ask Spordle to recreate your league for the coming season, or to request your accesses for the coming season.  All you have to do is choose the right season to take the action you want.

This is very important during the summer/winter transition.  While you're managing your winter playoffs, you're starting your championship schedules for the coming summer.  Simply switch from one season to the next to create the schedules in the right season

Offices

Offices, also known as organizations, serve as the foundation of Play. They are central to the system, as all aspects of Play are connected to an office in some way.

In Play, offices are organized in a hierarchical structure, with each office having a parent office.

Organization is the highest-level office and does not require a parent to be specified; all other offices must specify a parent.

Categories

In Play, categories are set globally for each organization. Unlike in SID, currently, categories cannot be customized at the branch level.

A category is made up of three main components: division, class, and gender. Division usually represents an age group, while class denotes the skill level. Gender options include Integrated, Female, or Male, allowing for inclusive classification based on gender.

Teams

Teams play a vital role in Play, although they're mainly managed through SID. Each team is identified by its name, number, category, and roster.

Roster Members

In Play, participants become part of a team by joining its roster. Unlike in SID, where positions are predefined, in Play, positions are hardcoded and can vary depending on the sport. This means that a member can hold multiple positions within a team.

Players can also be assigned additional designations such as a jersey number, captain or alternate status, affiliate status, over-age or under-age status, and released status, providing more flexibility in team management.

Participants Profiles

In Play, participant profiles consist solely of a name and a registry ID number – there's no additional information associated with this entity.

Syncing teams, officials, and registrations may automatically generate participant profiles. Existing participants will be matched based on their ID numbers.

Participants can also be manually created when necessary. If an individual has a registry ID number, it's best to specify it during manual creation to prevent duplicate entries during syncs later on. However, the registry ID number is optional and can be omitted if the person is solely an administrator.

Contacts

Contacts are exclusively used for notifications and informational purposes.

When a user account is created, a contact is automatically generated based on the account's email address. Otherwise, contacts have no impact on authentication.

Email contacts must be verified to receive notifications. Verification involves sending an email with a link to the contact's address, which must be clicked on while logged in to complete the process.

Addresses

Addresses are provided for informational purposes only. They are accessible only to administrative and assigning users, and are not visible to league or team users.

Currently, addresses do not incorporate geocoordinate logic, but this will be implemented soon to facilitate their use in travel claims during assignment processes.

Notifications

Notifications within Play are administered solely by administrators. Various types of notifications are available to keep users informed:

Scheduling:

  • A digest email is sent if there have been any game changes in the past hour.

  • All rostered team members are automatically subscribed

Activities:

  • A digest email is sent whenever there are new or updated activities for a team.

  • All rostered team members receive these notifications automatically.

Assigning:

  • An email is immediately sent when an assignment is declined.

  • Assigner roles are automatically subscribed to these notifications.

Game Reports:

  • Game reports are sent after the completion of a game.

  • Team officials receive these notifications automatically.

Major Penalties:

  • Scoresheets with major penalties are sent after the completion of a game.

  • Team officials are automatically subscribed to these notifications.

Draft Sharing:

  • An email is sent when access to a draft has been shared.

  • Draft roles (Association) are automatically subscribed to these notifications.

By default, notifications are sent to all contacts associated with the participant who have notifications enabled. However, it is possible to override this and specify a specific contact for notification delivery.

Accounts

An account in Play is simply your login credentials, consisting of a username and password. Roles and permissions are managed on your profile.

You can change your password directly from your profile page. However, if you need to change your username, you'll have to reach out to Spordle for assistance.

Identities

Your account can be linked to one or more participants through identities. When you log in, Play will automatically use your primary identity.

If you have multiple identities, you can switch between them easily by accessing the account menu located at the top right corner of the app.

This feature comes in handy for linking parents to their child's accounts or for individuals involved in multiple sports across different organizations.

Invitations

There are two ways to create an account: either by self-registration on the registration page where you input your name and ID, or by an administrator sending you an invitation via email with a unique registration link.

The registration process involves two steps: identity verification (name and ID) and account creation (username and password). If you receive an invitation, the identity verification step is skipped since your details are already provided in the invite, making it easier to create your account.

If you're not already logged in, you'll be prompted to enter a username and password to complete the account creation process.

If you're logged in, you'll see your currently logged-in email address and be asked if you want to link the account. If you choose not to link it, you'll need to log out and click on the link again.

If you already have an account but aren't logged in, the account creation form will act as a login form. If you enter the wrong password, you'll receive an error message. Otherwise, your profile will be linked and you'll be logged in as usual.
