Important: if a member is merged and has not yet been refunded by his organization, the previous organization will be able to refund the member. However, the member's name will be the one under his new profile.
Depending on your roles and permissions, you can merge the profiles of two identical members, thus eliminating duplicates. If you do not have this permission, please contact your regional organization.
Note: An organization can only merge members of its organization. However, a regional or provincial organization may merge members from different organizations.
Here's how to merge two participant profiles:
Search for the participants you wish to merge
Click on one of the two participants to access its profile
Click on the Action button in the top right-hand corner
Then click on Merge member
A new window will allow you to search for the member you wish to merge. You can search using the following criteria:
First and last name (mandatory)
Date of birth (optional, but allows you to limit the number of profiles in your search)
HCR number (if you know the member's HCR number, you can search by number only)
IMPORTANT: The profile you are in to perform the merge will be displayed as Already Selected.
Click on Select when you find the profile you wish to merge.
The following window will appear to finalize the member merge
IMPORTANT: You must click on KEEP to keep the member you want.
A window will appear, allowing you to confirm that you wish to merge the member. The system will notify you that the profile information you wish to delete will be merged with the information you wish to keep.
If the member has a profile photo, the system will keep the most recent photo.
You will be notified that you will no longer have access to the profile being deleted.
Click on Merge.
Once completed, the system will notify you that the merge has been successful.
