Tryouts

There are two options available for setting up your tryouts within HCR: Other Items or Registration Fees. Let's explore these choices and consider crucial factors when making your selection to determine which one best meets your needs.

Registration Fees

If you're using Registration Fees for your tryout registration, keep in mind:

  • If you opt for the registration fee method, make sure to establish a fee for each division in your tryouts. Only the fee relevant to their age group will be displayed during online registrations.

  • I suggest using a distinct name to differentiate it from your season registrations, ensuring easier visual identification in your catalog.

  • When configuring the fee, you have the option to select Ask for a Position, aiding coaches in creating a balanced team.

  • Membership fees are a one-time payment per season and will charged to the primary team for the member. While setting up your fee, you can mark the checkbox for Exclude Membership Fee.

  • When utilizing registration fees as your method, there are additional options available. Would you like to include a tryout Questionnaire or implement a specific tryout Waiver for players to sign?

Other Items

If you're using Other Items for your tryout registration, keep in mind:

  • Other Items are carried over from previous seasons.

  • The sold quantity doesn't reset; it only increases if you reuse items from prior seasons, It's advisable to create a new item each year with a distinct name.

  • Other Items are available for selection by any age group during online registration. To target a specific age group, ensure the item name that you assign it is clear and specific.

  • The description of the item will be visible solely on your store display page. After the online registration begins, only the title of the Other Item will be shown.

Online Registration

Deciding between creating a separate store for tryouts or adding tryout fees to your regular season store? Let's explore both options to help you determine which method best suits your needs.

  • When using registration fees, each member can select only one registration fee per player per invoice. This necessitates creating separate stores.

  • If you opt for other items and require members to register for the season to qualify for tryouts, you can use the same store.

Member Profile

When reviewing tryout registrations on a member's profile, consider the following:

  • If you've set it up using registration fees, you can review it from the registration tab, by opening the invoice, or through the side panel on the transaction tab.

  • If you're using other items, the tryout package will only be visible through the side panel on the transaction tab or by opening the invoice.

Reports

When considering how to set up tryout fees, let's factor in reports:

Generating a registration report provides a summary view with the total sold, regardless of choosing other items or registration fees.

For a detailed registration report:

  • If you've created a separate store, you may use the online store filter for tryout registrations only. Avoid using this filter if you have any manual registrations.

  • If you've used registration fees, you have the options to filter by division and fee name.

  • If you've used other items, you have the options to filter by registration type and other item name.

Remember:

  • When running a full report (seasonal registrations and other items), if a member selects both a registration fee and other item, they'll appear on two separate lines in the report, even if both are on the same invoice.
