Duplicate management

We're introducing a new module to make it easier to manage duplicate profiles.

In the Tasks menu, you now have a Potential member duplicates option. We've implemented a search engine that detects potential duplicates when creating a new profile.

If the system detects a potential duplicate, it will automatically flag the profiles. For further details, please refer to the documentation of Potential member duplicates.

Members cards

A new member card feature has been added to member profiles. The member card is also available in each member's My Account.

Each member's card can now be printed for validation during tournaments. Click on the Card button in the profile, and a window will appear with the member's name, ID number, member photo (soccer only), and date of birth.

More features concerning this option will be available shortly for tournament member validation.

Taxes

It is now possible to add your organization's tax numbers. To do so, go to the Organization menu under the General tab, where you'll find a Taxes box.

Travel Permit (SOCCER ONLY)

The travel permit module is now available in the Tasks menu.

Renew in batches (SOCCER ONLY)

It is now possible to renew members from the Tasks menu in batches.

Updates and improvements

Communication module - Authorize communications

The Communications module now lets you send messages to multiple e-mail addresses. It will be possible to send a message to all the contacts added to the contact area of the member profile.

By default, the system authorizes messages to be sent to all contacts. Still, it will be possible for the registrar to uncheck the box that authorizes contacts in the member profile.

All recipients of your messages will be blind copied (CCI).

There will be no charge or limit on the number of messages sent.

Classification change request

The member must not have been added to a team to make a classification change.

Background check - Member profile

It is now impossible to change the status of an Expire background check.

If you mistakenly selected this status, you must create a new background check to replace the expired one.

Background check status will now be displayed at the top of each member's profile page.

This information can be found either to the right of the primary organization or below it if the member has a secondary organization in their profile.

Outstanding Balance Management

We have reviewed the entire process for managing outstanding balances and improved the system. 

The rules in place now are as below:

• When adding an outstanding balance to a profile, the profile will be automatically moved to block.

• The registrar always has the option to change the blocked status to the previous one manually. The outstanding balance will still be applied to the profile.

• A blocked profile will not be able to register in HCR. A confirmed profile with an outstanding balance will be allowed to register.

• A blocked profile will not be allowed to be rostered. A confirmed profile with an outstanding balance will be allowed to be rostered.

• A profile with an outstanding balance can't be transferred.

We added a new field in the member search to allow you to search for all the profiles with an outstanding balance.

Team Deficiencies Report - Name change

The name of the Team deficiencies report has been changed to Rostered Participant Deficiency.

Branch Report - Name change

The name of the Branch report has been changed to Active Participants this season.

Participants' Report

The Note field in the member's address has been added to the report.

MOODLE

When you select a Moodle course, new fields have been added to the courses.

• Passing grade → enter the desired passing grade for participants in this Moodle course.

• Required session type → indicate when you consider the member can receive his qualification.

• Training content will always be available in the participant's My Account.

Waiting list approval in My Account

The error when a parent refused the invitation to register after being added to the waiting list was corrected.

Player age when registering

When registering a member, the system will consider the age settings the Federation has added. A message will be displayed if a member is not the required age.

Tournaments (BASEBALL ONLY)

All tournaments and their schedules are now published on Spordle PAGE.

Registered teams are now synchronized between ID and PLAY.

Spordle PAGE (SOCCER ONLY)

The names of 13U and under players and game results will no longer be posted on the Organizations Spordle PAGE. Statistics will be displayed.

Insurance Certificate (SOCCER ONLY)

The insurance certificate is now available in the Organizations menu. Click on the Action button to generate and print the certificate.

Member Type (Soccer Only)

You now have two ways of removing a member's function. Simply click on the member type at the top of the profile and click on the trash can to remove it.

Your ARS will approve, and then Soccer Québec.

Request management (SOCCER ONLY)

A filter on member status has been added, making it possible for you to filter the history of your Pending, Approved, and Refused requests.
