Online registration is you can view and/or create new online stores.

Display

  • Order: The order the stores will be displaying on the page

  • Name: The store name

  • Start/End Date: The dates that your online store will be available between

  • Status: The status of your store - Draft, Active or Closed

Online Store Side Panel

From the side panel, you will be able to edit the language (if you association is set up for French and English), update the status (draft, active or closed), change the sort order and the name of the store. You will also be able to view the number of registrations and Other items sold.

Note: From the Action button, you will be able to delete the store, but only if no registrations have been sold.

Create and Manage an Online Registration

Organizations can process and manage registrations through the HCR online store.

Before creating your online store, there are a number of items that need to be considered and / or complete.

 

To create an online registration: click on ‘create a new online storewhich is located to the right of the page.

There are four steps to complete the set up of an online registration store:

  1. General information

  2. Items and fees

  3. Terms and conditions, discounts and payment

  4. Review

Step 1 - General information

In this section, select the language, add a name for your online store and the registrar's email address, you can check the box "Send an email to each registration" to receive an email when a member registers. Then, set the start and end dates and times of the registration. You can also add a confirmation message (optional). Click "Next" to proceed to step 2.

Step 2 - Items and fees

Here you will be able to select registration fees and items that were set up in the Catalog section by clicking  ‘+Add’. Click on ‘Next to get to step 3.

When you click on a "Registration Fee", a side panel opens on the right. From the side panel, in the "Item" tab you can change the display order in your online store, set the status of your fee active or inactive by clicking on the blue pencil.

In the "Fee" tab, you will be able to see the details of your registration fees. If you wish to make changes, you must go to "Catalog" and "Registration Fees".

In the "Catalog" tab you can see the questionnaires, installments and waivers associated with that fee. To modify any of these items, you must go to "Catalog" and "Registration Fees".

By clicking on the "Action" button, you can remove the fee associated with that online store.

When you click on an "Other Items", a side panel opens on the right. From the side panel, in the "Item" tab you can change the display order in your online store, set the status of your fees to active or inactive by clicking on the blue pencil. You can also make the item mandatory for certain divisions.

In the "Fees" tab, you will be able to see the details of your "Other items". If you want to make changes to them, you must go to "Catalog" and "Other Items".

By clicking on the "Action" button, you can remove the fee associated with this online store.

Click on ‘Next to get to step 3.

Step 3 - Terms and conditions, discounts and payment

Select the terms and conditions (required) and the discounts that apply to this registration by using the dropdown menus. If you allow for credit card payments, choose your merchant account, and check off the available payment options.  Click ‘Next to get to step 4.

Step 4 - Review

Verify that all the information you’ve entered for the online store is set up correctly and click ‘Create Online Store at the bottom of the page.

View and Manage Registration

By clicking on a store, a side panel will be displayed with a summary of information about this store. You will be able to see the information about the store you created - name, start and end date, order of display in the online store and status (draft, active or closed). When there is a blue pencil, you can make changes.

To review the complete details of a specific online registration store (overview, registration list, transactions, and other items) click on the store title

You can change the status of the online store by clicking on the top right corner and selecting "Active, Draft or Close". You can access your online store by clicking on the image of the little carriage and by clicking on the last image you get the URL link of your store in order to send it to your members or to display it on your website.

Overview Tab

The overview will display all the set up information of your online store. You can make changes by clicking on “Edit”.

Note: if your store is live, and you need to make a change, move your store back to draft, make your updates, and reset it to active when it is complete. 

Items & Fees Tab

Your registration fees and other items will be displayed in this tab. You can click on your fees to open the side panel and make changes if necessary. Here you will find the 3 tabs explained above (Items, Fees and Catalog). You can also add charges by clicking on "Add" or remove charges by clicking on the "Action" button of the charge.

Registration Tab

A list of all your registrations will be displayed and you can generate an Excel report by clicking on Export.

Note: All registered members are flagged with a pending status by default. You must confirm a member’s registration in order to add them to a roster.

To manage a specific registration, click on the registration to open a summary side panel. You can view the registration details, the transaction details as well as the answers to the questionnaires. 

You have the possibility to confirm the registrations in batch. You have to check the list of players to confirm or check "All", click on "Action" and click on “Confirm registrations”.

Action Button: The action button will enable the following tasks:

  • Confirm registration

  • Confirm waivers

Note: You cannot accept waivers from a member if the member is shared and you are not their primary organization

  • Cancel registration

  • Refund

  • Change position (only if you request the position during the online registration process)

  • Resend invoice

  • Resend invoice with receipts

  • Send waivers by email

Transaction Tab

A detailed list of your transactions will be displayed and you can generate an Excel report by clicking on Export. By clicking on the transaction number in blue, the official invoice will open. By clicking on the transaction line, a side panel will open on the right, where you can see the details of the transaction including the installments, the amount paid and the amount due. Refund: To refund a member, you must click on the action button and select refund. 

Refund: To refund a member, you must click on the action button and select refund. 

Sort online store

You now have the ability to sort the enrollment fees in any order you want in an online form. Go to the online enrollment you want to change and in the Items and Fees section, you will now see a new column called display order. In the side panel, you can now change the value to sort the fees into the order you want. You can do the same for registration fees and other items.
