On this page, you will find all the documentation relating to the creation of qualifications.

Note: access to this menu and modification of qualifications, categories, and levels depends on your roles and permissions

 

 

 

Qualifications

To create a qualification, go to the Settings menu, select Clinic, and click on the Qualifications tab.

Add a qualification 

 

To add a new qualification, click + Add on the right.

 

Complete the required fields:

The * indicates a mandatory field.

  • Category*: You must select the qualification category to create it.

  • Levels: Select qualification level

  • Name *: You must enter the name of the qualification

  • Description *: You must enter a description of the qualification (optional)

Note : If a description is added by your provincial organization, it will be impossible for a regional organization to modify or delete the description. The description will be displayed when creating your course and selecting the qualification.

  • Member type: Select the type of membership that will be assigned to the participant on completion of the course.

    • Example: If you select the Coach member type for a course aimed at coaches, the participant will receive the Coach member type when he or she qualifies.

  • Certify: Indicate whether or not this qualification requires certification.

  • Expiration type *: You must select one of the following two options from the dropdown menu:

    • No Expiration: The qualification will remain active indefinitely and will not expire.

    • Fixed Period: If you select a fixed expiration type, the qualification will automatically expire based on the settings you provide. This is why the Expires After field is mandatory.

      Expires After (*): You must specify after how many years the qualification will expire.

Note: If you add an expiry date to the qualification, it will take precedence over the one added to the course.

  • Status : You can indicate whether the status of this qualification is Active or Inactive.

  • External supplier: If this qualification uses an external supplier, you must select the supplier and it will be used for this qualification.

Note : By specifying an external supplier, all courses using this qualification will have to go through the supplier to complete the course.

External ID: Select the external provider's content that will be associated with this qualification.

  • Fee: The national or provincial organization may charge a fee for this qualification. This fee will be added to the training fees charged by each organization.

    • Example: If your national or provincial organization adds a $5.00 fee and you charge $50.00 for a training session that includes this qualification, a total of $55.00 will be charged to each registered participant.

Once completed, click Create.

Search for a qualification

If you want to search for a qualification in the list under the Settings – Training menu, a search engine allows you to search by qualification name, and a dropdown menu lets you filter by member category.

In the search field on the left, you can enter the name of the qualification to refine your search and/or select the member category from the dropdown menu to which the qualification applies.

Modify or delete a qualification

To edit or delete a qualification, you must select the desired qualification and click on it to open the side panel on the right.

Use the blue pencil icon in the side panel to make the desired changes.

To delete the qualification, click on the Action button and select Remove.

Note: it will be impossible to delete the qualification if it is linked to an active course or if it has been assigned to a participant.

Reminder

The Reminder tab allows you to set up one or more automatic reminders related to a qualification’s expiration date.

For each reminder, you can specify the number of days before the expiration when the email will be sent to the affected members.
You can also include a custom message that will be added to the reminder email. This message may contain specific instructions or a personalized note to encourage members to renew or update their qualifications on time.

Category

To create a category, go to the Settings menu, select Courses, and click on the Categories tab.

 

Add a category

To add a new category, click + Add on the right.

 

Fill in the required fields:

An asterisk (*) indicates a mandatory field.

Status: Specify whether the category is active or inactive.

Color: Select a different color for each category.

Name*: Enter the name of the category.

Description*: Add a short description in both English and French.

Once completed, click Create.

 

Search for a Category

If you want to search for a category in the list under the Settings – Training menu, a search bar allows you to search by category name.

In the search field on the left, you can enter the category name to narrow down your search.

Modify or delete a category

To edit or delete a category, you must select the desired category and click on it to open the side panel on the right.

Use the blue pencil icon in the side panel to make the necessary changes.

To delete the category, click on the Action button and select Remove.

Note: It will not be possible to delete the category if it is linked to an active training session or has been assigned to a participant.

Levels

To create a level, go to the Settings menu, select Stages and click on the Levels tab.

 

Add a level

To add a level, click + Add on the right.

Fill in the required fields:

Search for a Level

In the search field on the left, you can enter the level name to refine your search.
