Checking your Organization's Settings

Log in to Spordle ID in your tournament organization. If you don't have access, your parent organization (local or regional) can grant you access to the Tournament Registrar role.

  • Once logged in, click on the Manage menu and then My Tournament to ensure the following information is accurate:

    • Organization logo: Verify that your organization's logo is uploaded. Click here for documentation on how to upload a logo.

    • Organization name: Ensure your organization's name is correctly displayed. Note: Do not add the year for the tournament to the name - this will be added automatically.

    • Address of your tournament: Check that the address provided is accurate.

    • Tournament staff: Add your tournament contacts to be displayed on your tournament page. Click here for documentation on how to add staff to your organization.

Verifying your Merchant Account

  • If you process credit card payments, ensure your My Tournament profile has the correct merchant account information.

  • If you don't have a merchant account and wish to process credit card payments, click here to create one.

Create Competitions

A competition in the Spordle ID platform is a tournament offered for a certain category, division, and class. Depending on your needs, it may have a limited or unlimited number of teams. It corresponds to a schedule in Spordle Play.

  • Make sure that the correct competitions are listed.

    • You can delete a competition if no teams are entered or remove the publication date if a competition is unavailable. View the documentation The side panel of your request.

    • If a competition is missing, you can add it. This new competition will not be available for registration until it has been approved and published. View the documentation Request a sanction.

  • For existing competitions, please ensure that

    • the dates are correct;

    • the number of places is correct;

    • the team entry fee is correct.

  • Competition names have been set by default according to the category/division/class requested during sanctioning. This will be the name of the schedule in Spordle Play. If you wish to edit it, you can do so in this section, and it will be synchronized with Spordle Play.

Add Publication Date in the Competition

Publishing and Unpublishing Option: The update allows users to control the visibility of tournaments on Spordle ID. Once approved, they can publish a tournament, ensuring it appears on the platform. Conversely, they can unpublish a tournament, removing it from public view while retaining all data within Spordle ID.

Approval requirement: Tournaments can be published only after the Federation approves the sanction request, which ensures that only authorized competitions are visible to users.

Where to Find My Tournament

You can find your tournament's public page in the MY TOURNAMENT tab of your organization. You can copy the public link on the left to transmit it via your website or other means.

Tournaments are displayed in the Federation and Regional Tournament tab, and each tournament organization has its page. So it's easy for your teams to find you and register.

How to Register my Teams

A team can be added to a tournament if it exists in the current season. Registrars must create their teams or rollover teams so that the teams are available. View the documentation Creating Teams. Note that it is not necessary to have players on the team to register for a tournament.

A team from a federated organization that uses Spordle ID will be available in the team list when created. If the team comes from another federated organization that does not use Spordle ID, it can be listed as an external team.

Managing an external team

In Spordle ID Tournament, an external team is a team that is not directly affiliated to the organization or federation that is on the Spordle platform. It may belong to another organization or league and is not initially registered in the internal system. Example: a soccer team from Ontario. These teams must be added manually or invited to register via the tournament's public page in order to be integrated and be able to manage their participation in Spordle ID. When verifying registered teams, please ensure that external teams are indeed a team and not a federation-affiliated team, which would then appear in Spordle ID. This check must be carried out before the team is approved. If necessary, you can replace the team or move it to another competition.

You can decide whether or not to accept external teams into your tournament. This is done via the side panel of each competition. If you don't enable entries for external teams, this means that all teams entered in your tournament will have to come from Spordle ID.

Adding roster to an external team

As an tournament registrar you can add members on an external team prior to your tournament. This roster will be available inside Spordle Play automatically when the team will be approved. This will be possible for pending and approved team.

to manage the alignment of an external team

It is also possible to link a Spordle account to an external team. You can set a deadline in the side panel of a competition, after which no changes to the line-up will be allowed. After this date, the line-up will be locked. We suggest using a date less than or equal to the start of your tournament.

Once the line-up has been made and the team approved, synchronization is done with Spordle PLAY. This is where the line-up will also be found.

Approve my Teams

The tournament registrar will be able to track registrations and approvals in the Teams menu of his tournament. Registered teams will be displayed in the tournament Teams section. The tournament registrar can filter by Competition and Status in this table.

Remove a pending or declined team

You can only remove a team with a pending or declined status if there are no invoices linked to the team. This removal will synchronize with Spordle PLAY. You can delete a team by going to the side panel. In the action menu, select delete.

Remove an approved team from your tournament

To remove a team that has been approved for your tournament, you must complete the following two steps:

  1. Go to the Teams menu in Spordle ID, select the team to open the side panel, and then click Manage Approval to change its status to Declined.

  2. Go to Spordle PLAY, click on your tournament schedule, select the team you want to delete, and click Delete.

 

Team synchronization between Spordle ID and Spordle PLAY

When you approve a team in Spordle ID, the system will synchronize the teams in Spordle PLAY. You do not need to create your tournament teams in Spordle PLAY.
