  • Once logged in, go to the tournament profile and validate the following information. This information will be displayed on the various tournament pages.

  • Organization logo. (How to change my organization's logo)

  • Organization name.

    Be sure to include the name of your tournament without any mention of the year, as this will be automatically added

    click on the Manage menu and then My Tournament to ensure the following information is accurate:

    • Organization logo: Verify that your organization's logo is uploaded. Click here for documentation on how to upload a logo.

    • Organization name: Ensure your organization's name is correctly displayed. Note: Do not add the year for the tournament to the name - this will be added automatically.

    • Address of your tournament: Check that the address provided is accurate.

    • Tournament staff

      • If you'd like to add one or more contacts to your tournament page, this is the place to do it (see documentation here).

Create Competitions

A competition in the Spordle ID platform is a tournament offer offered for a certain category, division, and class. It Depending on your needs, it may have a limited or unlimited number of teams, depending on your needs. It corresponds to a schedule in Spordle Play.

Competitions already sanctioned are displayed in the Competition section of your My Tournament organization profile.

Important

  • Approved competitions are available in Spordle ID to register teams. These are the competitions that have been approved by your federation has approved.

  • Published competitions are those that will be available in the public display and are therefore open for registration to all.

Make sure you are in the right season before checking. Competitions are per season.

Make the following checks for each competition:

  • Make sure that the correct competitions are listed.

    • If You can delete a competition should not be available, you can delete it if there are no teams are entered , or remove the publication date . (See documentation )if a competition is unavailable. View the documentation The side panel of your request.

    • If a competition is missing, you can add it. This new competition will not be available for registration until it has been approved and published (see documentation ). View the documentation Request a sanction.

  • For existing competitions, please ensure that

    • the dates are correct;

    • the number of places is correct;

    • the team entry fee is correct.

  • Competition names have been set by default according to the category/division/class requested at the time of during sanctioning. This will be the name of the schedule in Spordle Play. If you wish to edit it, you can do so in this section, and it will be synchronized with Spordle Play.

Add Publication Date in the Competition

Publishing and Unpublishing Option: The update allows users to control the visibility of tournaments on Spordle ID. Once approved, they can publish a tournament, ensuring it appears on the platform. Conversely, they can unpublish a tournament, removing it from public view while retaining all data within Spordle ID.

Control Over Tournament Visibility: This feature gives organizers flexibility in managing tournament visibility, aligning with their scheduling and promotional strategies.

Approval requirement: Tournaments can be published only after the Federation approves the sanction request, which ensures that only authorized competitions are visible to users.

Find My Tournament

You can find your tournament's public page in the MY TOURNAMENT tab of your organization. You can copy the public link on the left to transmit it via your website or other means.

Teams

A team can be added to a tournament if it exists in the current season. Registrars must create their teams or rotate teams in order for the team to be available. (See documentation) rollover teams so that the teams are available. View the documentation Creating Teams. Note that it is not necessary to have players on the team to register it for a tournament.

Once the tournament has been published, there are 3 three ways to register a team for a tournament:

  • As a tournament registrar, you can search for a team in all existing teams (see documentation);As a club register a team from any organization and choose any category, even if this does not correspond to the original category of the team registered in your tournament.   • As an organization registrar, you can register a team for a tournament directly using Spordle ID. This must be available for the team's category. View the documentation Organizations - Register a team;

  • As a team member, I you can register for a Spordle PAGE tournament. See Tournament documentation for details.

Only approved teams will be displayed on the tournament pages and in Spordle PLAY.

A team from a federated organization that uses Spordle ID will be available in the team list when created. If the team comes from another federated organization that does not use Spordle ID, it can be listed as an external team.

Changing a team in a competition

Note: Use when groups in a competition are incomplete and you wish to merge two categories.

It is possible to change the competition when a team is in pending status or approved status.

Check that the team you wish to change competition has no scheduled games. If games exist, you must first remove the team from these games before proceeding with the competition change.

Note: After the change, the team will be synchronized to the new competition in Spordle Play. The system will also try to delete the team from the previous competition. This will work only if the team is not added to a game in the old competition. If this is not the case, you will need to open a support request so that our technical support team can remove the team.

Select the team concerned, then click on "Change competition" in the side panel.

This change is only possible when the team status is pending.

The tournament registrar can replace an external team with a team already registered in the system, or replace a team with another existing team.

You will need to select the team with pending status whose change you wish to make, and then select change team from the action menu.

Managing an external team

In Spordle ID Tournament, an external team is a team that is not directly affiliated to the organization or federation that is on the Spordle platform. It may belong to another organization or league and is not initially registered in the internal system. Example: a soccer team from Ontario. These teams must be added manually or invited to register via the tournament's public page in order to be integrated and be able to manage their participation in Spordle ID. When verifying registered teams, please ensure that external teams are indeed a team and not a federation-affiliated team, which would then appear in Spordle ID. This check must be carried out before the team is approved. If necessary, you can replace the team or move it to another competition.

External team registration

You can decide whether or not to accept external teams into your tournament. This is done via the side panel of each competition. If you don't enable entries for external teams, this means that all teams entered in your tournament will have to come from Spordle ID.

Adding roster to an external team

As an tournament registrar you can add members on an external team prior to your tournament. This roster will be available inside Spordle Play automatically when the team will be approved. This will be possible for pending and approved team.

  • Select the external team for which you want to add players to the roster.

  • In the Action menu, select Add members.

  • You now have a screen that will allow you to enter members. There is 2 modes :

    • one by one by default

    • the grid view that will allow you to copy and paste the data from an excel spreadsheet.

      • The mandatory information for a new member is :

        • First name

        • Last name

        • Date of birth

        • Gender

        • Email

        • Group position: you will have the choice between player or coach

  • After you save the member, you will be able to see the roster in the side panel and edit or delete that members.

Add a Spordle account to manage the alignment of an external team

It is also possible to link a Spordle account to an external team. You can set a deadline in the side panel of a competition, after which no changes to the line-up will be allowed. After this date, the line-up will be locked. We suggest using a date less than or equal to the start of your tournament.

Once a Spordle account has been created, users will be able to add their team's roster members via the Management tab, as described above. They will not need to create a new account if they are participating in multiple tournaments outside their territory; they can simply use the same e-mail address to link their Spordle account to the external team registered.

Once the line-up has been made and the team approved, synchronization is done with Spordle PLAY. This is where the line-up will also be found.

Approve my Teams

The tournament registrar will be able to track registrations and approvals in the team section Teams menu of his tournament. Registered teams will be listed displayed in the Tournament tournament Teams section. In this table, the The tournament registrar can filter by Competition and Status in this table.

Once the team has been approved, it will be displayed on our pages and transferred to Spordle Play.

Remove a pending or declined team

You can only remove a team with a pending or declined status if there are no invoices linked to the team. This removal will synchronize with Spordle PLAY. You can delete a team by going to the side panel. In the action menu, select delete.

Remove an approved team from your tournament

To remove a team that has been approved for your tournament, you must complete the following two steps:

  1. Go to the Teams menu in Spordle ID, select the team to open the side panel, and then click Manage Approval to change its status to Declined.

  2. Go to Spordle PLAY, click on your tournament schedule, select the team you want to delete, and click Delete.

 

Team synchronization between Spordle ID and Spordle PLAY

When you approve a team in Spordle ID, the system will synchronize the teams in Spordle PLAY. You do not need to create your tournament teams in Spordle PLAY.

The system synchronizes Spordle ID and Spordle PLAY approximately every 10 minutes.

Note: your competition must also be published to be displayed in Spordle PLAY and thus have the teams in Spordle PLAY.
