Assignment Procedure

Note: it is possible to assign your officials in draft mode. See the Assignment - Draft Mode documentation for more details.

To assign officials to games, log into PLAY at http://play.spordle.com.

Search for games to assign
Then click on Games in the left-hand menu.
All upcoming games for your organization and rinks will be displayed.
You can search for games using specific criteria to find the games that best suit you by selecting the search filters on the left.

The clipboard icon to the right of each game allows you to see the status of the officials for each game.
For example
If the number on the clipboard is 3, three officials have not yet been assigned to that game.
If there is a red circle, it means that one or more officials have refused your request.
If there is a green check mark, it means that all officials have been assigned.
You can hover your mouse over the icon to see a brief description of the status.

Now that we have the assignment status information, let's select a game and assign officials.
To do this, click the clipboard icon to the right of the game where you want to assign officials.

Assigning officials
A pop-up window will inform you of the number of officials who need to be assigned. Click on the Referee line to expand this tab.
The small triangle to the right of the Search box will allow you to filter your search for officials.
By default, the filters Unavailable Officials and Ineligible Officials will be selected.
Other filters available are as follows:
Expired officials
Unregistered officials
New officials
Local Officials
Ignore arena availability
You also have the option to sort by the list of attributes you created earlier.

In this case, we have selected only the Local Officials filter. The list of available local officials will be displayed. If no officials are displayed, you must change your search filters and add the Unavailable Officials filter or any other filter.
Suggestions for available officials will be displayed on the right. These officials are available but have not applied for this game.
Select the desired official by clicking on it.

By selecting an official, you will have access to four tabs:
SUMMARY: Displays the officials' qualifications, availability status, and any conflicts or warnings.
SCHEDULE: Displays information on officials' availability for the selected game day.
HISTORY: Displays the official's history, including previous games and officiating roles.
CONTACT: Displays the officials' contact information.
Click on Assign at the bottom right to send the assignment.

The system will tell you that the game is pending the official's response until the official refuses or accepts the game.
Note: If you have indicated in your settings that an official cannot refuse a game, he will have to contact you if he wishes to decline his assignment.

If the official refuses the game, it will say Declined. You must remove the official who refused this game to continue assigning another referee.
Note: if you have indicated in your settings to retire an official when he declines an assignment, you won't need to remove him.

If the official accepts, Confirmed with a green tick will be displayed.
Â
An official can decline an assignment any time, even if the official has already accepted it.
Â
As the Assigning Official, you can Remove or Swap the role of an official at any time.

Assignment Confirmation or Decline
You will receive an email update of the games confirmed by your officials at the end of each day.
Â
When an official refuses an assignment, an email will be sent immediately to notify you.
Click on View Game to access the game and assign another official.
Â
Display a Declined game on the assignment page.

Assignment Settings
Your parent organization has defined the assignment parameters to determine the number of referees for each category. However, an assignor can change the parameters for a game.
Click on Settings to see the parameters that have been defined and, if you want, modify them for this game.
Don't forget to click Save if you modify the settings.

Transactions and Claims
You can add Transaction or Claims for a single game.
To do this, select the game to access its page and select the Officials tab. Then click on Add Transaction or Add Claims, according to the preferred option.

Officiating Messages
The Message box on the game assignment page lets you send a message to assignors and games officials.
Type your message and click Send.

Show Assignment in the game list
The assigned referees' names can be viewed in the games list.
Click on the Game menu, and in the search section, check Show Assignments. All referees assigned to games will be displayed.
